Choose your workspace

Choose Personal for your own records, Professional for client work, or Team for shared staff access. Create your workspace and review the plan details.

Start with the context in which you will use the documents. A household collection and a professional client exchange need different structures. Reviewing your purpose first helps you choose folders and a subscription that make sense together.

Add and organise documents

Upload a supported file, give it a recognisable name and place it in the right folder. Add tags to make related records easier to find.

A recognisable name and a sensible folder do much of the organising work. Use tags consistently for related records. You should be able to tell a current policy from supporting correspondence without relying on memory.

Request what is missing

For a client exchange, create a document checklist and share an upload invitation. The recipient opens it in a browser and submits the requested files.

Think about the person receiving the request. Name each item, identify the period it should cover and explain any obvious requirement such as a complete readable scan. This gives them a clear next action.

Review the submission

Mark each requested item as Missing, Submitted or Accepted. Request a replacement with a reason when a document needs correcting.

Review the document itself before accepting it. A filename cannot tell you whether a page is missing or the wrong reporting period was supplied. Explain the correction when returning an item so the recipient knows what to replace.

Share the right files

Choose the documents or folder to share, set access controls and send the link through the channel you already use.

Before sending a link, review the selected files and the access conditions together. The purpose of a share, its duration and the ability to download should all support the same exchange.

Keep the workspace current

Add a replacement version, review activity, update access and use reminders for time-sensitive papers. Keep copies you need outside the service under your own control.

Document work continues after the first upload. Check the current version, relevant dates and access when circumstances change. A finished project is a useful point to review the links and permissions that remain open.

DOCUMENT WORK, WITH PEOPLE IN MIND

Preparation makes the exchange easier.

Before requesting files, decide what you need and what a useful submission looks like. The recipient should be able to understand the checklist without knowing how you organise your own workspace.

When material arrives, review it before accepting it. A clear reason for a replacement helps the sender correct the problem and keeps the exchange moving.

After the work is complete, review the documents, dates and access that remain. Keeping the workspace current is part of the process, rather than a separate cleanup task.
