Private vault

Keep documents in folders, add labels and tags, and search filenames and tags. Start with a structure that matches your household, clients or projects.

Organisation works best when it follows a recognisable pattern. Choose folder names and tags that remain useful as the collection grows, rather than creating a different naming convention for every new file.

Controlled sharing

Create links for selected documents or folders. Set expiry and password protection, choose viewing or download permissions and revoke future access.

The sharing tools are there to make an exchange deliberate. Choose the material first, then review the duration and permissions. Ending service access later does not remove copies that a recipient already kept.

Document requests

Build a checklist, invite a recipient to upload and track Missing, Submitted and Accepted items. Ask for replacements with an explanation.

A checklist makes the difference between a general request for papers and a useful set of instructions. Treat Submitted as a review queue and Accepted as the outcome of your own check.

Client spaces

Keep each client’s requests, documents and completed work together. A separate space reduces confusion between unrelated exchanges.

Client context helps avoid mixing documents from unrelated engagements. Keep incoming material, requests and the results you share connected to the client or project they belong to.

Versions and reminders

Retain earlier document versions and identify the current file. Add expiry dates and reminders for records that need attention.

A version answers which file is current; a reminder draws attention to when something needs action. Use both alongside accurate document information rather than expecting either tool to interpret the record for you.

Team access

Give three staff access under the Team plan, with roles and an activity history. External clients participate through their invitations.

Shared work needs people to understand their responsibilities. Staff access and external invitations serve different purposes. Use the access relevant to the work and review it when responsibilities change.
